Administrative Assistant - Occupational Health Unit

A vacancy has arisen within Sefton Councils Occupational Health Unit.  At Sefton we are fortunate to have an in-house Occupational service provision offering staff working for the council and Sefton schools’

  • Pre-employment Health Screening and health assessment of individuals via Occupational health physicians and Occupational Health Nurses/advisers.
  • appointments for Counselling,
  • appointments for physiotherapy and psychotherapy.

The function and purpose of the health unit is to ensure we are meeting the current health and wellbeing needs of our internal workforce and external school customers.

The services are provided from Magdalen House, Bootle, and at a satellite site based at Hawthorne Road Depot, Bootle. 

These are services are currently managed via contractual agreements with external providers.

Referrals to these services are made via the Health Unit and we are looking for an administrative assistant to assist the OH unit manager to provide comprehensive administrative support ensuring all administrative elements of the service operates at optimum efficiency.

The successful candidate will be involved with the processing referrals to the health unit, triaging the referrals to the appropriate service provision and managing the diary schedule of all the service providers as well as disseminating confidential medical reports to the individuals and their managers. 

This will require working with confidential and sensitive data and would be ideal for applicants who have previous experience of working in a medical establishment ie GP surgery, hospital, other health unit providing a customer focused service.

Candidates must be able to work under their own initiative producing work to deadlines and ensuring data is processed with the utmost accuracy to comply with General Data protection regulations.  

Good interpersonal skills will be required to liaise with staff across all levels of the authority and external providers. 

The post will operate from office-based attendance at Magdalen House, Bootle. In due course, following an initial probationary period and subject to satisfactory performance, some agile working (a combination of home and office-based working) may be available subject to operational requirements.

The position is for 3 days per week which equates to 21.60 hours.
